Remove a resource temporarily from the schedule

Can I do this task?

  1. In the Navigation Pane, click Settings, click Administration, and then click Users.

    - OR -

  2. In the Navigation Pane, click Settings, click Business Management, and then click Facilities/Equipment.
  3. In the list, open the resource you want.
  4. Under Common, click Work Hours.
  5. To remove the resource from the schedule for a specific time period, do the following
    1. On the Monthly View tab, select a date on the calendar.
    2. On the Actions toolbar, on the Set Up menu, click Time Off.
    3. In the Time Off dialog box, complete the following boxes:
      • Reason. Type a short explanation for the resource's absence.
      • All Day. If the resource is unavailable for the entire day of all of the days, select this check box.If the resource is available for part of one or more days, clear this check box.
      • Start Time and End Time. If you did not select the All Day check box, you can set specific start and end times when the resource will not be available.
      • Duration. If you want Microsoft Dynamics CRM to calculate the end date and time, select the number of days the resource is unavailable.
      • Time Zone. If the resource is in a different time zone, select the time zone. Microsoft Dynamics CRM automatically adjusts the times on the calendars.
    4. Click OK.

      In the working hours calendar and the Service calendar, affected days are marked with a red block. When the time off expires, the previous schedule continues.

  6. To remove the resource from the schedule for an indefinite amount of time, on the Monthly View tab, do the following:
    1. Double-click the date that is the first day from which the resource is not available for scheduling.
    2. In the Edit Weekly Schedule dialog box, click From <this date> onward, and then click OK.

      If the Work Day dialog opens, then you selected a date that has a unique schedule. Discontinue this step and use the steps in "Remove the resource from the schedule for a specific time period" section. Then, repeat this step for the rest of the schedule.

    3. In the Weekly Schedule: Edit dialog box, click None. Resource is not working.
    4. Click Save and Close.

      In the Work Hours calendar view, the icons for the affected days change to the Not Available icon Not Available icon.

  7. Click Save and Close.

Note

You can update your own working hours or time off, and add yourself to teams and resource groups. On the Tools menu, click Options. On the General tab, at the bottom of the page, click the View your user information link.
