Required Preparation in source files before using the Data Map for Report Export

  1. Rename each source data files to make sure that the file name is the same as the Salesforce.com object it represents. This way the Import Data Wizard can automatically figure out the Microsoft Dynamics CRM record types for each file. The correct file names are:
    • Account.csv
    • Contact.csv
    • Lead.csv
    • Contract.csv
    • Opportunity.csv
    • Product2.csv
    • Pricebook2.csv
    • Task.csv
    • Event.csv
    • Solution.csv
    • Case.csv
    • CaseComment.csv
    • Campaign.csv
    • User.csv
    • Asset.csv

    These file names are case-sensitive.

    If you use your own file names, specify the Microsoft Dynamics CRM record type on the Map Record Types page of the Import Data Wizard.

  2. When you export data, only include data from only one record type in an export file.
  3. If records refer to each other using names, make sure each record in the same import (same or different source files) has a unique name.

    The data exported from the Reports area of Salesforce.com has its lookup references based on the primary names of the record types. The references do not use the unique IDs, as in the case of a full data export. Source data may contain records with the same names, such as the same account name or same opportunity name. Any record that refers to a duplicated name fails to import process with "A duplicate lookup reference was found" error.

    Clean the source data before using the Import Data Wizard to make sure each record has a unique primary name. Look specifically for the same account name in Account.csv, the same opportunity name in Opportunity.csv, and the same Last Name-First Name in Contact.csv.

    In Microsoft Dynamics CRM, use the duplicate detection option in the last screen of the Import Data Wizard.

    1. Before launching the Import Data Wizard, create appropriate duplicate detection rules in Microsoft Dynamics CRM. For example, detect if any opportunities have the same name or if any contacts share the same given name and surname.
    2. Import the files one at a time with Allow Duplicates set to No on the Review Settings and Import Data page of the Import Data Wizard.

    If you use the duplicate detection option, the Import Data Wizard should not find any duplicate references because the duplicates were not imported.
